Year-End Residence Hall Move-Out Information
Dear Family Member or Guardian:
Thank you for choosing Student Housing and Dining Services for your student. We value the opportunity to have a positive impact on your student’s transition to the university. As we all prepare for the close of the academic year and the beginning of summer, we are providing you with information to assist with this transition. We thought it would be helpful to send you a reminder regarding the official closing of the residence halls and to provide you with information as to what your student needs to do to avoid any cleaning, damage or improper checkout charges. Additionally, we are sending your student detailed instructions on how to properly move out of their residence hall room.
Please refer to Section 4G of the 2023-24 Residence Hall Contract. To ensure a smooth transition from the academic year to the summer, we require students to vacate their space 24 hours after completing their last final exam or no later than 7pm on Thursday, June 13, whichever comes first. Please use the coming weeks to help your student manage their time and strategize their packing and travel needs to meet the move out deadline.
Students involved in commencement exercises, or that have challenges with international travel, can request a Late Move-Out. Late Move-Outs requests are not guaranteed and are approved at the discretion of Student Housing and Dining Services. Students can apply for a Late Move-Out in their myHousing Portal beginning in mid-May. Approvals for Late Move-outs will be posted in their myHousing Portal and are also subject to a nightly rate.
To avoid being charged an improper checkout fee of $75.00, your student must return the room to its original condition. Additional cleaning and maintenance charges may be billed if your student’s room has damage and/or cleanliness issues. Below is a checklist of action items.
- Remove all personal belongings & make sure to check all drawers, closets, and hooks for belongings
- Vacuum all floors & dispose of all trash and recyclables
- Return room furniture to the configuration in which you found it when you moved in, but do not de-loft or de-bunk any beds
- Turn off all lights, heating, and air conditioning & lock all windows and doors
- BICYCLE STORAGE: Your bicycle must be removed from the residence hall area and all campus grounds. Remaining bicycles will be impounded and owners will be charged impound and improper move out fees.
- Return any temporary/lockout cards or keys to your Area Service Desk, if applicable
- Ensure all mail has been removed from your mailbox, packages picked up from your Area Service Desk and your address in SISWEB is up-to-date. We will use this address to forward any USPS mail we receive for your student after they move out. All other carriers are returned to sender as they do not provide forwarding as an option.
Please note that you will need to purchase a parking permit at one of the lot kiosks or by using the Aggie Park App. Please be mindful to only park in designated spaces and not in fire lanes or access ramp areas.
In addition, we hope to make the move-out process as easy as possible for everyone. To assist with this, we have created a web link that will have information about parking, loading zones and updates that are unique to your student’s building. Your student will also be notified of any updates as we near the end of their first year with us.
